- IEEE RA-L Submission

To be eligible for ROMAN 2023, your RA-L paper’s final accepted manuscript must be submitted to RA-L for proofing between September 1, 2022, and May 31, 2023.
Please use the RA-L submission page on PaperCept for IEEE RA-L Submission and select Submission for RA-L and RO-MAN 2023.

Initial Regular and Special Session Paper Submission

Authors should submit their papers electronically in PDF format via the Papercept submission site. For the initial submission, a manuscript can be of 6-8 pages including references. For the final submission, a manuscript should be of 6 pages, With 2 additional pages allowed with $100 extra charge per page. All papers are reviewed using a single-blind review process.

Templates and Procedures for Submission:

All papers submitted to RO-MAN 2023 will undergo a peer-review process. A manuscript will be reviewed by at least two reviewers, who will provide detailed comments. If the paper is accepted, the authors will submit a revised version (final paper) that takes into account this feedback. The review process is managed by the program chair, the program co-chairs, and the regular and special session associate editors. Both regular and special session papers will appear in the proceedings if they are accepted.

All papers are reviewed using a single-blind review process: authors declare their names and affiliations in the manuscript for the reviewers to see, but reviewers do not know each other's identities, nor do the authors receive information about who has reviewed their manuscript.

Authors should use the templates provided by the electronic submission system. The templates for US Letter format paper should be used. Please download the templates below.

The manuscript submission website will require that you submit your abstract and make any final changes to the author list and title of the paper before uploading the paper. All authors and co-authors must be registered in the electronic system. It is the corresponding author's responsibility to ensure that the complete author list and the correct title are being entered. This information will be used for the conference program and the proceedings.

- Authors should adhere to the following steps for submitting the initial paper:

  • STEP 1

    Create an account: go to http://ras.papercept.net/, then PIN and fill out the form. Ask all your co-authors to do the same if they do not have an account on the system yet, write down the authors' PINs (this information is needed for manuscript processing purposes).

  • STEP 2

    Go to Support Menu and depending on how you are preparing your paper, download a template: LaTeX or MS-Word, Use these templates/style files to create the paper and save in PDF format.

  • STEP 3

    Upload the paper: go to http://ras.papercept.net/ and click on "Submit a contribution to RO-MAN 2023".

  • STEP 4

    Submit (Select regular paper or special session paper. Special session codes are below).

  • STEP 5

    Fill in the form presented on the next page (make sure to enter all author PINs created in Step 1).

Camera-Ready Submission

Authors must submit the final version of their paper electronically in PDF format through the Paperplaza system June 30(Fri), 2023 at the latest. Before submitting the final version, authors should revise their paper taking into account the feedback from the reviewers. Each paper is limited to six pages in the standard IEEE Conference Paper Format based on the LaTeX template or Microsoft Word template. A maximum of two additional pages are permitted with $100 extra charge per page.

- Authors should adhere to the following steps for submitting the final paper:

  • STEP 1

    Pay the “Full Registration” fee, which includes the fee for upload of one final paper. The conference requires at least one of the authors pay this fee before the final version may be uploaded.

  • STEP 2

    Prepare your final paper using the available LaTeX or Microsoft Word templates and following these paper preparation instructions. Make sure to have the latest templates and do not change the formatting in any way.

  • STEP 3

    Check that the names of all authors and their order is identical in the PaperPlaza submission system. Please write author names with only the first letter capitalized, that is, use "Firstname Lastname" in all instances and do not use "FIRSTNAME LASTNAME" anywhere.

  • STEP 4

    Create a PDF version of your paper and perform the IEEE PDF compliance test. If your paper does not pass the test, you cannot continue and may read the PDF Test Help to revise the format of your paper until it passes the test.

  • STEP 5

    To process the copyright transfer for each contribution, follow the "Copyright Transfer" link, and you will be taken to the IEEE copyright transfer site (IEEE eCP) in a new window. Follow the steps as described on IEEE eCP pages and make sure that the paper title and author list are correct before you perform the copyright transfer.

  • STEP 6

    Upload a PDF file of your paper that has passed the IEEE PDF compliance test.

*Note: For papers that involve studies with human participants, you are required to include a statement on ethics/IRB approval. We recommend including this statement in the same section that participants are discussed.
